TERMS AND CONDITIONS

• The free convention center promotion applies to ATLAPA and the Panama Convention Center.
  Free spaces in the convention centers will be granted to events that meet the minimum required hotel room nights. See eligibility criteria (1)
• The professional assembly and disassembly days of the event will be taken as one more day and will be counted as part of the promotion for which the proposer must qualify.
• If the convention centers, mentioned in point 1, do not have availability on the requested date for the event and the organizer cannot change the date, DON'T WORRY! The free use promotion of the convention center will apply to a local convention center and will be processed as a refundable economic incentive to the organizer. In that case, the organizer may choose another convention center, and PROMTUR will evaluate the event and offer an economic incentive, as appropriate.
• This promotion is not valid for events that already have a signed contract before the implementation of this incentive.
• The incentive will include the free spaces necessary for the development of the event, according to its magnitude and specific needs. In cases where the organizer reserves areas that are not included in the promotion, they must cover the cost of these additional spaces.
• Once the application is approved and the date availability is verified, PROMTUR will sign an agreement with the event organizer, according to the first approved projection of room nights.
• The organizer is responsible for::
  • Booking and signing the contract with the corresponding Convention Center.
  • Complying with the regulations of the required venues and presenting the guarantees that they demand.
  • Making payments for additional days, food, beverages and other services not covered by the incentive.
  • Covering the costs of overtime, additional personnel and air conditioning during the assembly and disassembly of the event.
• The incentive that will be granted to the organizer will be effective once they have paid the total amount budgeted by the corresponding Convention Center, before the event.
• The incentive covers exclusively:
  • The rental of the spaces necessary for the event, according to the eligibility criteria. See eligibility criteria (1)
  • Air conditioning and Convention Center staff during regular working hours, according to the established eligibility criteria. See eligibility criteria (1)
• The incentive does not include:
  • The rental of the spaces necessary for the event, according to the eligibility criteria. See eligibility criteria (1)
  • Air conditioning and Convention Center staff during regular working hours, according to the established eligibility criteria. See eligibility criteria (1)
• Eligibility criteria:

For Panama Convention Center:

• 2 free days when reaching between 7,500 and 9,999 hotel nights.
• 3 free days when reaching between 10,000 and 12,499 hotel nights.
• 4 free days when reaching between 12,500 and 14,999 hotel nights.
• Personalized incentives when exceeding 15,000 hotel nights.

For ATLAPA Convention Center:

• 2 free days when reaching between 2,000 and 3,499 hotel nights.
• 3 free days when reaching between 3,500 and 4,999 hotel nights.
• 4 free days when reaching 5,000 hotel nights.
